Inkwell Offline: Effective Date: July 2026

Inkwell Offline ("Inkwell Offline," "we," "us," or "our"), is a correspondence subscription service that delivers physical letters and reflection cards to your mailbox. We built this service to help you step away from screens — and we bring that same spirit to your data. We collect only what we need to deliver your letters, and we treat it with care.

This Privacy Statement explains what information we collect, how we use it, who we share it with, and the choices you have. It applies to inkwelloffline.com (the "Site") and to the subscription services we offer through it (together, the "Services").

1. Information We Collect

Information you provide directly:

  • Account and order information. Your name, email address, and password when you create an account or place an order.
  • Mailing information. The recipient's name and physical mailing address. Because our entire service is postal delivery, this is essential information — we cannot fulfill your subscription without it.
  • Payment information. Your payment card details are collected and processed by our third-party payment processor, Square. We do not store your full card number on our systems; we retain only a payment token, card type, and the last four digits for billing management.
  • Subscription preferences. Your selected character(s), gift recipient details if you purchase a subscription for someone else, and any personalization details you choose to provide.
  • Communications. Anything you send us when you contact customer support, respond to a survey, or correspond with us by email.

Information we collect automatically:

  • Usage and device data. When you visit the Site, we automatically collect standard log data such as IP address, browser type, device type, pages viewed, and referring URLs.
  • Cookies and similar technologies. We use cookies to keep you signed in, remember your cart, and understand how visitors use the Site through analytics tools such as, Google Analytics. You can control cookies through your browser settings; disabling them may affect Site functionality.

Information about gift recipients. If you purchase a subscription as a gift, you will provide the recipient's name and mailing address. We use this information solely to fulfill the subscription and will not add gift recipients to marketing lists unless they separately opt in.

2. How we use your information

We use your information to:

  • Fulfill your subscription — printing, sealing, and mailing your letters and reflection cards on schedule
  • Process payments and manage recurring billing for your annual subscription
  • Communicate with you about your account, orders, delivery schedule, and any service updates
  • Respond to customer support requests
  • Send marketing emails about new characters, offerings, and promotions (you can unsubscribe at any time using the link in any marketing email)
  • Improve the Site and Services, including analyzing usage patterns and troubleshooting issues
  • Detect and prevent fraud, and comply with legal obligations

We do not use your information for automated decision-making that produces legal or similarly significant effects.

3. Who We Share Your Information With

We do not sell your personal information, and we do not share it with third parties for their own advertising purposes. We share information only in the following circumstances:

  • Fulfillment and mailing partners. We share recipient names and mailing addresses with the printing and fulfillment partners who produce and mail your letters, and with postal carriers (such as USPS) who deliver them. These partners are permitted to use your information only to fulfill your order.
  • Payment processing. Payment information is handled by [Square], which processes it under its own privacy policy and industry security standards (PCI DSS).
  • Service providers. We use trusted vendors for website hosting, email delivery, analytics, and customer support tools. These providers may process your information only on our behalf and under contractual confidentiality obligations.
  • Legal requirements. We may disclose information if required by law, subpoena, or other legal process, or when we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.
  • Business transfers. If Inkwell Offline is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any change in ownership or use of your personal information.
